What counts as a task
A task is any successful action step Zapier runs. Triggers are free. Filters and formatter steps are free. Every action that writes, sends, or creates something is billable — so one Zap with three actions costs three tasks per run, not one.
- Trigger fires: free
- Filter or Paths condition: free
- Formatter step: free
- Each create/update/send action: 1 task
- Failed actions that later replay: billed again on the retry
The tiers, in plain numbers
Zapier bills by task bundle, and the price per task drops as you buy more. The trap is that bundles are annual-averaged but overages are charged as they happen.
- Free: 100 tasks/month, two-step Zaps only, 15-minute polling
- Professional: from about $19.99/mo for 750 tasks, multi-step Zaps, paths and webhooks
- Team: from about $69/mo, shared connections and unlimited users
- Enterprise: custom, with advanced admin and SSO
Where the bill actually escapes you
Most people don't overspend because of one big workflow — they overspend because of many small ones firing constantly on data that didn't need to move.
- Multi-action Zaps: a 4-action Zap running 500 times is 2,000 tasks, not 500
- Chatty triggers: 'record updated' style triggers fire on every field edit
- Retries: transient API failures re-bill on each attempt
- Test runs: they consume tasks on paid plans
The break-even math
Compare cost-per-task, not sticker price. At 750 tasks Zapier costs roughly 2.7 cents per task. Make's entry tier lands near 1 cent per operation, and flat-priced platforms stop metering entirely once you're past a few thousand runs a month.
- Under ~500 tasks/month: Zapier's free or entry tier is fine, and the breadth is worth it
- 500–5,000 tasks/month: Make is typically 40–60% cheaper for the same workflows
- 5,000+ tasks/month: flat-priced Pabbly Connect or self-hosted n8n win outright
- Unpredictable volume: flat pricing removes the overage risk entirely
How to cut a Zapier bill without switching
If you like Zapier and only want the bill smaller, most of the savings come from three changes.
- Filter as early as possible — filters are free, actions are not
- Replace 'updated' triggers with narrower views, labels or status-based triggers
- Merge related Zaps into one multi-step Zap with Paths instead of duplicating triggers
- Batch low-urgency work into a scheduled digest instead of firing per event
When Zapier is still worth the premium
Breadth. With 6,000+ apps, Zapier connects things nobody else does. If your stack includes a niche tool that only Zapier supports, paying more for that one connection is usually cheaper than self-hosting an integration.
